The Operations Coordinator will be responsible for managing day-to-day operations, providing customer service, assisting with administrative tasks, and supporting operations management. Gratuity and tips are common when providing excellent service in the rental department. Position Overview We’re looking for a highly organized, customer-focused, and energetic Operations Coordinator to join our team. This role is at the heart of our business, handling customer communications, scheduling, gear rentals, and daily operations. You’ll be interacting with customers via phone, email, and in-person, helping them book tours, rent gear, and answering questions about our services. You’ll also assist with staff scheduling, ensuring smooth daily operations, and keeping track of multiple lines of communication. For the right candidate, there’s also an opportunity to lead bike tours and kayak tours, adding an exciting outdoor element to this role! Key Responsibilities Customer Communication Answer incoming phone calls and respond to customer inquiries about bike tours, surf lessons, kayak rentals, and more. Respond to emails professionally, efficiently handling tour bookings, rental requests, and general customer inquiries. Keep track of multiple communication channels (phone, email, walk-ins) and respond promptly. Provide exceptional customer service, ensuring that every guest has a positive experience from inquiry to adventure. Operations Coordinate with staff to ensure smooth operations and clear communication throughout the day. Maintain a well-organized workspace, keeping track of reservations, schedules, and rental inventory. Rentals Help customers rent bikes, surfboards, wetsuits, and other gear, ensuring they get the right equipment for their needs. Share knowledge of bikes, surf gear, and outdoor equipment to assist customers with rentals. Tour Support Provide customers with information about our bike tours, surf lessons, and kayak tours, helping them choose the best adventure for their needs. Ensure smooth check-in for tours and lessons, making sure guides and instructors are set up for success. Opportunity to lead bike tours and kayak tours in Santa Barbara! Qualifications & Skills Required: Exceptional phone and email communication skills – ability to write professional emails and handle a high volume of calls. Strong multitasking ability – ability to juggle multiple tasks in a fast-paced environment. Highly organized and detail-oriented – able to keep track of scheduling, rentals, and staff assignments. A friendly and customer-service-oriented attitude – we love positive energy! Ability to work well in a team environment while also managing responsibilities independently. Basic computer skills, including experience with email, scheduling software, and booking systems. Preferred but Not Required: Experience in a bike shop, surf shop, kayak rental business, or any outdoor adventure company. Knowledge of high-end bikes, surf conditions, or ocean safety. Previous experience in tourism, outdoor recreation, or hospitality. Ability to lead bike tours or kayak tours (training available for the right candidate). Why Join Cal Coast Adventures? ?
